Reading purchase invoices
PDF or UBL, with a dedicated reader per supplier. Every invoice is recalculated line by line; if it doesn't match to the cent, you see which line it is.
We build Exact Online integrations that take over the manual work around your books: reading and checking supplier invoices, creating new items, booking purchase orders, tracking stock per warehouse and an order portal for your business customers. It has been running at a drinks wholesaler with a liquor shop since October 2026.
Each part shows how far along it is: running at a client, built and in testing, or proven on our own test setup.

A product that isn't in Exact yet becomes a proposal with name, supplier item and sales price. After approval it's in Exact, and the app reads back what was actually stored.
After checking, you book the invoice as a purchase order. Returns go along as a negative quantity, so stock is right on receipt.
All price agreements in a local copy, with an alert when a customer price drops below cost or below your minimum margin.
Stock per warehouse every fifteen minutes, count sheets per warehouse and a transfer from wholesale to shop from the till export.
Customers order at their own price list and see what they ordered before. After approval the order goes to Exact, and Exact calculates the price.
An invoice that doesn't add up, a price below cost, an item without a supplier number. On or off per employee, with a daily summary by email.
Look up items, customer prices and orders from a conversation with Claude. Read-only, separated per administration.
With an integration you mostly pay for what isn't in the manual. This is what we ran into, so you don't have to.
A sales price you send while creating an item is ignored. After every write we read back what was actually stored.
Exact rotates the refresh token. If a test environment refreshes too, production is locked out. That's why only production talks to Exact.
60 calls per minute and 5000 per day. With a local copy and fetching only changes, there's plenty left.
Exact rounds unit prices to whole cents. A case price divided by 24 then gives an order total that's just off from the invoice.
We fetch the data into our own database once and after that only the changes. Fast for you, and well within the package's limits.
Writing is only possible through actions agreed up front. A test in the code fails as soon as one is added that wasn't agreed.
Every booking shows up front what will happen. Only after a 'checked' tick and a check on the totals does anything go to your books.
An unknown item or a timeout doesn't hold up the rest. It becomes an alert for whoever picks it up, and an interrupted run resumes where it stopped.
An integration that reads cannot break anything. One that writes can. How we limit writing to Exact Online and Nmbrs: a fixed list, tests that guard the list, look first and then book.
read moreA connection to Exact Online is almost always built for one thing. That is a waste, because the same connection can tie together your stock, your point of sale and a customer order portal. Four building blocks from our own work.
read moreReading from an accounting package is easy. Writing is where it bites. Five things we ran into while creating items in Exact Online that are not in the documentation.

An Exact Online administration and a user to switch the integration on. You register the app in Exact under Import/Export > App registrations. Use a separate user with only the rights needed, because an integration gets the rights of whoever switches it on.
Reading and writing are separated. Writing is only possible through actions named up front, each with a check beforehand and a 'checked' tick box. A test in the code fails as soon as a write action is added that wasn't agreed.
Exact allows 60 calls per minute and 5000 per day. We keep a local copy of the data and after that only fetch changes. Stock per warehouse then usually costs one call every fifteen minutes.
Yes. For a shop with MplusKASSA we turn till sales into a transfer from the main warehouse to the shop warehouse in Exact. The Exact code is stored on every till item; that's the link.
No. Most integrations start with one bottleneck, such as purchase invoices or price lists. Once the basics are in place (login, copy, limits), the second application costs a fraction of the first.
€90 per hour or €600 per day, excl. VAT. We start with a one-day kickoff and then agree a fixed price per phase.
